Our clients include professional sports teams, national nonprofit organizations, educational institutions, associations, and other organizations with large and complex collections of photographs, documents, audiovisual materials, publications, and institutional records.
We are in the middle of a major transformation in how we process and deliver our services. Rather than relying solely on traditional manual workflows, we are building AI-assisted systems that dramatically improve speed, quality, consistency, and scalability.
We are looking for an AI Operations Analyst to help drive that transformation.
The Opportunity
This role sits at the intersection of AI, operations, data, and workflow design—focused on improving how work gets done, not writing production code or managing projects.
This role will work at the intersection of AI, operations, quality, data, and workflow design. The job will be to help us evaluate, improve, document, test, and operationalize AI-assisted production systems across the company.
This role will work closely with leadership, services, and software development teams to identify bottlenecks, improve workflows, measure results, and help transform how work gets done.
This role is ideal for someone who enjoys understanding complex processes, identifying inefficiencies, working with data, testing systems, and creating repeatable solutions.

Requirements
- Strong understanding of AI tools and modern AI workflows
- Exceptional systems-thinking and problem-solving abilities
- Experience analyzing, improving, documenting, or managing processes
- Strong organizational skills and attention to detail
- Excellent written communication skills
- Comfort working with data, spreadsheets, and structured information
- Ability to learn complex workflows quickly
- Ability to work independently in a fast-moving environment
- Bachelor’s degree in Business, Computer Science, Information Systems, Data Analytics, or Engineering

- Experience with workflow automation

Responsibilities
Learn and Understand Existing Workflows
- Become deeply familiar with HistoryIT’s production workflows
- Learn how collections are processed from intake through final delivery
- Understand existing AI-assisted workflows and quality processes
- Participate directly in production activities to understand workflow realities
Improve AI-Assisted Operations
- Evaluate AI-generated outputs and identify patterns of success and failure
- Test prompts, workflows, and automation approaches
- Analyze workflow bottlenecks and improvement opportunities
- Help design and refine AI-assisted production systems
- Develop recommendations for increasing efficiency and quality
Build Operational Systems
- Create and maintain workflow documentation
- Develop standard operating procedures and training materials
- Help establish performance metrics and quality benchmarks
- Track workflow performance and improvement results
- Support rollout and adoption of new processes
Work Across Teams
- Collaborate closely with Services, Software Development, and Leadership teams
- Translate operational challenges into actionable improvements
- Participate in testing and validation of new workflows and systems
- Help ensure successful implementation of new tools and processes
